The PC Refresh Cycle Is Changing

The way businesses buy and use computers is changing, and recent market reports show there may not be one clear direction.

Microsoft is projecting a significant decline in Windows OEM and device revenue, citing weaker PC demand, rising component costs and other market factors. Those higher costs are part of a broader industry challenge, with component and memory pressures expected to make PCs more expensive and potentially influence when organizations choose to replace existing equipment.

At the same time, Apple just reported its strongest June quarter ever for Mac sales, with revenue up 29%. One of the more interesting things Apple highlighted was how some customers are using its higher-performance computers, including connecting multiple Mac Studio systems to run advanced AI models locally.

So while higher hardware costs could give businesses more reason to extend the useful life of some equipment, new and more demanding workloads could push other devices toward upgrades sooner.

From an IT asset disposition perspective, both trends are worth paying attention to.

The “Normal” Refresh Cycle May Be Getting Less Normal

For years, many organizations have operated on fairly predictable PC refresh schedules. Replace equipment after a certain number of years, deploy the new devices and retire the old ones.

That model isn’t disappearing, but the decision is becoming more nuanced.

If a computer is secure, supported and still doing its job, rising replacement costs may strengthen the case for keeping it in service longer. On the other hand, a device that can’t support a new application or workload may need to be upgraded before its traditional replacement date.

That could leave IT teams managing a wider mix of equipment at different points in the lifecycle.

There isn’t necessarily a right or wrong answer. The important part is making those decisions intentionally and knowing where each asset stands.

Keeping a PC Longer Isn’t the Same as Keeping It Around

There’s an important distinction between extending the useful life of a computer and simply holding onto it longer.

A laptop productively serving an employee for another year may be a smart financial decision. A retired laptop sitting in a storage room for another year usually isn’t.

We’ve seen how easily that can happen. A refresh gets completed, everyone moves on to the next project, and the old equipment gets stored until someone has time to deal with it.

Meanwhile:

  • Asset records can become outdated.
  • Devices may still contain company or customer data.
  • Batteries continue to age while sitting unused, causing safety risks.
  • Equipment that could potentially be reused or resold can lose value.
  • A manageable disposition project can eventually become a much larger one.

If equipment is intentionally staying in service longer, that’s one thing. Once it’s no longer being used, having a defined retirement process becomes just as important.

More Powerful Devices Can Also Mean More Data to Protect

The Apple announcement highlights another change happening within the PC lifecycle.

Today’s computers are capable of handling increasingly sophisticated workloads locally. AI is one example, but from an ITAD perspective, the bigger issue isn’t AI itself. It’s what businesses are asking individual devices to do, and what information may be stored on them as a result.

As computing becomes more powerful at the device level, organizations still need to answer some very familiar questions:

  • What data is on the device?
  • Where is the asset throughout its lifecycle?
  • Can it be safely redeployed or reused?
  • When it’s retired, how will the data be securely destroyed?
  • Where will the equipment go after it leaves the organization?

Those aren’t new questions. But new technology can raise the stakes for answering them correctly.

Refresh Decisions May Become More Device-Specific

IT teams are facing pressure in both directions. Higher equipment costs make extending the life of some devices attractive. At the same time, new applications, performance requirements and security needs can make upgrading other equipment necessary.

That makes accurate asset tracking increasingly important. It also makes redeployment, reuse and disposition part of the same lifecycle conversation rather than completely separate processes.

Whatever the Refresh Cycle, Have a Plan for the End

No one knows exactly how component costs, AI adoption and changing hardware requirements will reshape corporate refresh cycles over the next several years.

What we do know is that the decision is becoming more complicated than simply replacing every computer after a set number of years. Whether a device stays in service for three years, five years or longer, eventually it will reach the end of its useful life within your organization.

Know what you have. Know what’s actively being used and what’s sitting idle. Protect the data throughout the device’s life, and have a defined process for redeployment, reuse, resale, data destruction and recycling when it’s time to move on.
